06 Cash Management & QuickBooks
Shift opening float, safe drops, denomination blind drawer close, Daily Z-Report, and automated QBO sync.
06 — Cash Management, Daily Close & Accounting Integration Specification
1. The Strict Cash Drawer Lifecycle
Liquor stores handle a significant proportion of cash transactions (often 25% to 40% of total revenue). Solid cash controls eliminate internal shrinkage and clerical balancing errors.
The 4 Stages of Drawer Management
[ 1. Morning Shift Open ]
Cashier verifies and accepts opening float (e.g. $200.00 standard bank)
│
▼
[ 2. Mid-Day Transactions & Cash Drops ]
• Ring sales, dispense change
• Cash drops when drawer exceeds threshold ($1,000 max in till)
• Paid-outs logged for petty cash / store supplies
│
▼
[ 3. Evening Blind Close ]
Cashier counts physical currency by denomination without seeing system totals
│
▼
[ 4. Manager Reconciliation & Daily Z-Report ]
• System compares physical count against expected cash
• Flags variances over threshold (e.g. > $5.00)
• Generates Daily Z-Report & syncs to QuickBooks
2. Blind Drawer Close: Eliminating Shrinkage Temptation
Why "Blind Close" is Mandatory
In systems that display the expected drawer cash total (e.g. "You should have $1,428.50"), dishonest or careless employees are tempted to pocket any cash overage or fail to recount discrepancies.
LQPOS Blind Close Workflow
- The cashier enters their PIN and initiates
Close Shift. - The UI presents a Denomination Counter:
- Hundreds ($100), Fifties ($50), Twenties ($20), Tens ($10), Fives ($5), Twos ($2), Singles ($1)
- Dollar Coins ($1.00), Halves ($0.50), Quarters ($0.25), Dimes ($0.10), Nickels ($0.05), Pennies ($0.01)
- Rolled coin inputs (e.g. 5 rolls of Quarters = $50.00)
- The cashier types in the physical counts and clicks
Submit Final Count. - The system calculates the grand total behind the scenes.
- If the variance between counted cash and expected cash is greater than the configured threshold (e.g. $\pm $5.00$):
- The cashier is asked to recount once.
- If the variance persists, the drawer locks and alerts the shift manager for override sign-off with a mandatory note (
"Drawer short -$12.40: Cashier made error on change").
3. Mid-Shift Cash Drops & Paid-Outs
1. Automated Safe Drops (Skims)
- When cash in the drawer exceeds a safety limit (e.g.
$800.00), the POS displays a non-intrusive reminder:"Till Cash Exceeds $800 — Recommended Cash Drop: $500.00". - The cashier selects
Cash Drop, inputs the drop envelope number and amount ($500.00), and places the envelope in the store's drop safe. - A dual-copy receipt prints: one goes into the safe envelope, the second stays in the till.
2. Petty Cash Paid-Outs
- For routine store expenses (e.g. buying lemons/limes from the grocery next door, paying a window washer, local ice delivery).
- Cashier clicks
Paid-Out, selects category (Store Supplies,Repairs,Delivery Tip), enters vendor name, amount, and takes a photo of the receipt using the register webcam or mobile tablet.
4. The Daily Z-Report & Batch Settlement
At end of business day, after all lanes are closed, the store manager runs the Consolidated Store Z-Report.
